Summary of crucial items of terms and conditions

·      Payment by bank transfer is not possible

·      If you are purchasing on behalf of an organisation (e.g. university, research centre, hospital,…) you must enter the correct VAT number, tax ID or other relevant identification number of the organisation. This number must be included by checking the box “I'm purchasing as a business” and subsequently inputting the number. Please also ensure the correct address and name of your organisation is completed during registration and check out.

·      Failure to input correct and complete information leading to you or your organisation requesting another invoice will result in a 90 euro (excl. VAT) admin fee being added to that invoice.

·      You may not use any external help including AI to complete the assessment.

1. Introduction

These Terms and Conditions govern the use of the EARMA Academy Certificate Platform (“the Platform”). By accessing, registering for, or using the Platform — including completing assessments or purchasing certification — Users agree to comply with these binding Terms and Conditions.

2. Purpose of the Platform

The Platform provides access to assessments and certificates related to EARMA Academy courses. Certificates are awarded only upon successful completion of the applicable course and assessment requirements.

The user of the platform is buying an online assessment and will receive a downloadable certificate upon successful completion of the assessment. Payment gives the right to undertake the assessment and opportunity to get the certificate. The certificate will NOT be provided to those not having passed the assessment. The certificate is provided by EARMA and is not accredited or transferable to other education programmes. 

3. User Responsibilities

Users are responsible for:

  • Providing accurate, complete, and up-to-date information during registration and purchase;
  • Maintaining the confidentiality of their login credentials;
  • Ensuring that all activities conducted under their account comply with these Terms and Conditions.

Users must not share account credentials or allow third parties to access the Platform on their behalf.

4. Assessments and Academic Integrity

All assessments must be completed individually and must reflect the User’s own knowledge and understanding.

By submitting an assessment, Users confirm that:

  • the assessment has been completed independently;
  • no assistance has been received from other individuals, automated tools, artificial intelligence systems, or external sources, unless explicitly authorised by EARMA Academy.

Any breach of this requirement may result in:

  • invalidation of assessment results;
  • revocation or withdrawal of certificates;
  • suspension or termination of access to the Platform.

Users must not reproduce, store, distribute, or share assessment content in any form.

5. Certification

Certificates are issued only to Users who successfully meet all course requirements.

EARMA Academy reserves the right to verify assessment results prior to issuing certification.

Certificates are personal and non-transferable. Any misuse, falsification, or misrepresentation of a certificate may result in withdrawal of certification and/or suspension of Platform access.

Violation of these terms and conditions may be reported to the employer paying for the assessment and qualification without authorisation of the employee undertaking the assessment.

EARMA may change, remove or add certifications, assessments and programmes at any time.

6. Pricing, Promotional Codes, and Payments

6.1 Pricing and Promotional Codes

All promotional codes must be applied at the time of purchase. Promotional codes cannot be applied retroactively once a transaction has been completed, and prices cannot be adjusted after payment.

6.2 Accuracy of Billing Information

Users are responsible for ensuring that all personal and invoicing details provided during checkout are complete and accurate. Certificates and invoices will be issued based solely on the information submitted.

The correction of invoices and issuing of credit notes will carry a 90 euro (excl. VAT) admin fee to be added to the invoices in such case the issue arises from incorrect or incomplete information being entered upon registration or check out.

Any registration on behalf of an organisation or employer must include the correct VAT number, tax ID or other relevant identification number of the organisation. This number must be included by checking the box “I'm purchasing as a business” and subsequently inputting the number. 

A PO number must be added upon registration and checkout when applicable. Requesting the addition of a PO number at a later date will incur the 90 euro admin fee mention in this article.

6.3 Invoicing

Invoices are generated automatically using the information provided at checkout. Correcting invoices will incur a 90 euro (excl. VAT) admin fee where applicable, as described above in Article 6.2.

Invoices follow the Belgian and EU One Stop Shop (OSS scheme) tax rules.

6.4 Finality of Transactions

All purchases are final and non-refundable.

Payment cannot be done by bank or wire transfer.

7. Platform Availability

The EARMA Academy will make reasonable efforts to ensure continuous access to the Platform. Access may temporarily be unavailable due to maintenance, updates, or technical issues.

8. Data Protection

Personal data will be processed in accordance with applicable data protection legislation and EARMA’s Privacy Policy. Users agree to the collection and use of their data for administering the Platform, processing payments, and issuing certificates.

9. Limitation of Liability

EARMA Academy shall not be liable for any direct or indirect damages arising from the use of, or inability to use, the Platform, except where liability cannot be excluded under applicable law.

Failure of one of the conditions in this term and conditions to apply, will not invalidate the other conditions of applying.

10. Amendments

EARMA Academy reserves the right to update or modify these Terms and Conditions at any time. Users will be informed of significant changes.

11. Governing Law

These Terms and Conditions shall be governed by and interpreted in accordance with applicable European Union and Belgian law.
